1. Overview

Melty Palette is a recruitment CRM for staffing agencies. The Melty Palette Meeting Assistant joins online meetings (Zoom, Google Meet, Microsoft Teams) as a visible participant bot to record meeting audio for the meeting host's organization, and generates transcripts and AI meeting summaries inside Melty Palette.

2. Information we collect

• Meeting recordings: audio of meetings that a Melty Palette user explicitly registers for recording. The bot is visible in the participant list and announces recording in chat; the host must admit the bot before it can join.
• Meeting metadata: meeting URL, scheduled time, and the participant display context needed to attribute speakers.
• Zoom account data (when you connect Zoom): your basic profile and an on-behalf-of authorization token (user:read:token / user:read:user scopes) used solely so the recording bot may join meetings you attend. We do not read your meeting list, contacts, or files.
• Google account data (when you connect Google): your account email for display, and access to create events on your primary Google Calendar (calendar.events scope) only when you explicitly issue a meeting URL from Melty Palette — each issuance creates one calendar event with a Google Meet link, optionally inviting the meeting counterpart you chose. We do not read, modify, or delete your other calendar events. Melty Palette's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

3. How we use it

Recordings are transcribed and analyzed to produce meeting minutes, hearing summaries and coaching feedback for the tenant (the staffing agency) that registered the meeting. We do not use customer data to train AI models, and our subprocessors are contractually restricted in the same way.

4. Subprocessors

We use the following service providers ("fourth parties" for Zoom app purposes):

• Recall.ai (Hyperdoc Inc., USA) — meeting bot infrastructure. We use the Recall.ai meeting bot service to capture audio and video data from meetings. Data is processed in the Tokyo (ap-northeast-1) region and deleted from Recall.ai within at most 72 hours (typically immediately after we retrieve it).
• Soniox (USA) — speech-to-text transcription.
• OpenAI (USA) — structured meeting analysis. API data is not used for model training per OpenAI's API data usage policy.
• Amazon Web Services / Supabase — hosting and storage (Tokyo region).

5. Retention & deletion

Recordings and transcripts are retained inside Melty Palette under the controlling tenant's account and can be deleted by tenant users at any time. Disconnecting the Zoom integration (or uninstalling the app from the Zoom Marketplace) invalidates stored tokens; our deauthorization endpoint deletes the associated Zoom credentials. Disconnecting the Google integration deletes the stored Google tokens.

6. Consent

The bot is always visible as a named participant and posts a chat notice that the meeting is being recorded. Meeting hosts are responsible for obtaining any consent required by applicable law before recording.
